What goes wrong at wedding catering, and what we do instead

Couples who've had a bad wedding meal tell the same five stories. The food ran out or came cold. It wasn't the menu they picked. The caterer stopped calling back, or the crew came late and short-handed.

  • A person answers, before and after you book

Call any day from 7 AM to 9 PM and you'll reach Claudia's team in Rogers, not a call center. Every call ends with the next step and when it happens, from the first quote to the week of the wedding.

  • Enough food for the last table

Give us your guest count and we work out the portions for every dish, buffet or plated. The last table through the line gets the same choices as the first, and no guest splits a plate.

  • Hot plates at the last table too

Hot dishes go into chafing dishes the moment we set up and stay there through the meal. USDA food-safety guidance for buffets keeps hot food at 140°F or warmer, and a chafing dish is how a caterer holds it there.

  • The menu you picked is the menu that's served

The dishes you choose with Claudia's team are the dishes we cook from scratch and set out on the day, down to the green beans. Scratch cooking is how this kitchen has worked for 15 years.

  • Set up before guests sit down, with enough hands

The crew arrives ahead of your start time, sets the buffet or the plates, and comes staffed for your guest count and style of service, so nobody waits on a short-handed line.

Wedding catering questions couples ask first

How far ahead should we book wedding catering?

Most couples book 6 to 8 months out.

Zola's planning guide puts caterer research at 10 to 12 months before the wedding and booking at 6 to 8. Call Claudia's Creative Catering as soon as you have a date, and we'll tell you on that first call whether it's open.

When do you need the final guest count, and what if it changes?

Usually 7 to 14 days before the wedding.

That's the common range in Text My Wedding's RSVP guide, and the catering agreement sets the exact date. If your number moves, call Claudia's Creative Catering and we'll rework the portions and the quote to match.

Will there be enough food for everyone?

Yes, the portion math is ours to do.

Give Claudia's Creative Catering your guest count and we work out every dish from it. As a general guide, WebstaurantStore's figures put buffet protein at 6 to 8 ounces a guest, plus 4 to 6 ounces each of starch and vegetables.

Can you handle gluten-free, vegetarian, and allergy plates?

Yes, tell us on the first call.

Claudia's Creative Catering builds each wedding menu around your guest list, so gluten-free, vegetarian, and allergy plates are planned from the start, next to dishes like garlic herb chicken over wild rice.

Do you set up, serve, and clean up?

Yes, that's full-service catering.

Claudia's Creative Catering staff arrive ahead of your start time, set the buffet or the plates, serve through the meal, and clean up afterward. Rehearsal dinners and showers can get the same service.

Buffet or plated, with a crew that serves and cleans up

Claudia's Creative Catering cooks a wedding two ways, as a buffet or a plated dinner, and both come as full service.

A wedding buffet

A buffet sets every dish out at once in chafing dishes, so guests choose what they want and come back for seconds. It suits a big guest list and a relaxed reception. One line serves roughly 60 to 80 guests before the wait gets long, per WeddingBudgetCalc, so larger weddings often run two.

A plated dinner

A plated dinner brings each guest a set plate at the table, like the garlic herb chicken over wild rice below. It takes more hands: QuickStaffPro's staffing guide puts plated service at about one server for every 8 to 12 guests, against one per 20 to 30 at a staffed buffet.

Full service, start to finish

With full-service catering, our staff set up before your start time, serve through the meal, then clear and clean up. Rehearsal dinners and bridal showers come out of the same kitchen, full service or dropped off hot.

Check your venue's catering rule before you book anyone. Crystal Bridges in Bentonville uses its own in-house catering, per WedSociety, while Kindred North, a barn venue in Centerton, leaves catering to the couple, per Here Comes the Guide.

From the first call to the last tray cleared

  1. Call with your date, guest count, and venue

Call any day from 7 AM to 9 PM. A rough guest count is enough, and you'll know on that call whether your date is open.

  2. We build the menu around your guests

Claudia's team suggests dishes for a buffet or a plated dinner, asks about gluten-free, vegetarian, and allergy guests, and quotes the wedding to your headcount, menu, and town.

  3. You send the final guest count

Couples usually set the RSVP deadline 3 to 4 weeks before the date, per Paperlust. Once the replies are in, give us the final number and we redo the portions for every dish.

  4. We set up before your guests arrive

The crew gets there ahead of your start time, sets the buffet or the plated service, and fills the chafing dishes, so the table is ready when the first guest walks in.

  5. We serve, then clean up

Staff serve through the meal and keep the buffet filled. Afterward they clear the food and clean up, so your night doesn't end at the sink.
