What goes wrong with party food, and what we do about it

Hosts who've been let down tell a few stories. The trays ran out before the late guests came. The holiday dinner still had to be cooked at home. The caterer cancelled days before, or the food went cold on the patio table.

  • Enough food for the guests who come late

Tell us how many you've invited and how the party runs, an open house or a sit-down dinner, and we work out the portions from that. A graduation crowd full of teenagers gets portions planned for teenagers.

  • A holiday dinner that comes fully cooked

A Thanksgiving or Christmas dinner from Claudia's kitchen arrives cooked from scratch: the turkey roasted, the dressing baked, and the sides hot. You set the table, and nobody spends the day at the oven.

  • The kitchen that books your party cooks it

Your order is quoted, planned, and cooked by the same kitchen in Rogers. Call any day from 7 AM to 9 PM in the week before the party to go over the menu or the guest count.

  • Hot food on a patio table, not just indoors

Hot dishes arrive in chafing dishes and stay in them through the party, whether the table is in your kitchen, on the back patio, or under a park pavilion.

  • One call for a funeral meal

When a family is grieving, one call to Claudia's team covers the menu, the count, and where the meal goes, a home or a church hall. We plan the rest from what you tell us on that call.

What hosts ask before they book party catering

How much food do we need for an open house where people come and go?

Plan on about 60 to 65% of the people you invite.

That's the open-house rule in the graduation guides from CaterCow and Foodinis, with a 10 to 15% buffer on top and 1 to 1.5 pounds of food per adult. Give Claudia's Creative Catering your invite list, and we'll do that math with you.

How far ahead should we book for a May graduation Saturday?

Two to four weeks for drop-off, six to eight for full service.

Those are CaterCow's graduation figures, and the guide says to book earliest for May and June. Call Claudia's Creative Catering as soon as the open-house date is set, and you'll know on that call whether it's open.

Will the food stay hot at an outdoor party?

Yes, hot dishes arrive and stay in chafing dishes.

Claudia's Creative Catering sets hot food out in chafing dishes, so the brisket and the sides stay warm on a patio table or in a park pavilion, the same as on a kitchen counter. Tell us on the call that the party's outside.

Can you cook a whole Thanksgiving or Christmas dinner?

Yes, fully cooked and ready to serve.

Claudia's Creative Catering cooks the roast turkey, dressing, cranberry sauce, and sides from scratch and brings them hot. Tell us the guest count and whether it's a sit-down dinner or a buffet.

How fast can you put together a funeral meal?

Call as soon as the service time is set.

CaterCow's funeral guide suggests ordering 5 to 7 days ahead when you can, and says many caterers handle next-day tray orders. Claudia's Creative Catering will tell you on that first call what the kitchen can have ready, and when.

Catering for graduations, birthdays, holidays, and funeral meals

Claudia's Creative Catering builds each party menu around the occasion, and the portion math changes with it.

A graduation open house

A graduation open house runs for hours with guests coming and going, so sandwiches and finger food suit it better than a plated meal. Pulled pork sandwiches with coleslaw and tortilla pinwheels fit a table guests return to. CaterCow's graduation guide calls running short "the most common catering mistake, especially when a lot of the guests are teenagers."

A milestone birthday

A milestone birthday, a 50th or a 70th, often runs as an evening of appetizers in place of dinner. Meatballs in marinara, spinach dip with flatbread chips, and chilled shrimp make a full table. For an appetizer-only party, the CaterCow and Foodinis guides plan 8 to 12 pieces a guest for two hours.

Holiday parties and holiday dinners

A holiday party runs one of two ways: a sit-down Thanksgiving or Christmas dinner built around the turkey and dressing, or a standing party on shrimp, crab dip, and a dessert tray. Office holiday parties come out of the same kitchen.

Church suppers and funeral meals

A funeral meal or church supper feeds a crowd that's hard to count ahead, so comfort food by the pan works best. Chicken and dumplings, vegetable lasagna, sliced ham, and banana pudding all serve from big pans. Gravepedia plans for 50 to 80% of funeral attendees at the reception, and EulogyExpert for 60 to 80%. Gravepedia puts a home at 20 to 40 guests and a church hall at 50 to 200.

Bentonville Schools lists the Class of 2027 ceremonies for May 14 at Bentonville High and May 15 at Bentonville West, so families there can set the open-house date around that weekend before they call.

How party catering works, from the call to cleanup

  1. Call with the date, the guest count, and the place

Call any day from 7 AM to 9 PM. Say whether it's an open house, a sit-down dinner, or a supper after a service; a rough count is enough to start.

  2. We plan the menu and the portions

Claudia's team suggests dishes for the kind of party it is, asks about gluten-free, vegetarian, and allergy guests, and quotes it to your count and menu.

  3. You choose drop-off or full service

Drop-off brings the food hot in chafing dishes, set out and ready to serve. Full service adds staff who serve through the party and keep the trays filled.

  4. We set out the food before the first guest

The order leaves the Rogers kitchen and goes on the table at your home, church hall, or venue ahead of your start time.

  5. Staff clear and clean up

With full service, our staff clear the buffet and clean up as the party winds down, so the host gets the last hour with the guests.
